Retreat Terms and Conditions

Participants must be over the age of 18 and will be required to a sign a waiver prior to attending the retreat.

 
 
  • The retreat will proceed rain or shine. Please be aware if you miss the meet-up time at the designated location the group will leave as scheduled without you.

  • Participants need to be in good physical health in order to fully participate. Please read the retreat description carefully and assess your ability to cope with the activities involved. If you are unsure, please contact Renew Retreats: hello@welcometorenew.com

 
  • Please note that if, in the opinion of the guide, any participant is unable to complete the itinerary without undue risk to themselves and/or the rest of the group, Renew Retreats reserves the right to exclude them from the retreat without refund.

  • Emergency medical insurance for retreats is recommended for all out-of-province participants. When selecting a travel insurance policy, it is recommended that at a minimum you are covered for medical expenses, including emergency repatriation.

 

 

Cancellation and Refund Policy

 
  • 15 days or more prior to the start date of the retreat: a full refund less administration and Eventbrite fees will be given.

  • 0-14 days prior to the start date of the retreat: no refunds will be given but spots will be transferable until 5 business days before the date of the retreat.

  • To cancel you must send an email stating that you wish to cancel to: hello@welcometorenew.com

 
  • Our retreat is guaranteed to take place once the minimum group size is reached. Renew Retreats reserves the right to cancel a trip for any reason, but will rarely cancel except for Force Majeure, unusual or unforeseen circumstances outside our control. When a retreat is cancelled by Renew Retreats before the agreed date of departure for any reason other than the fault of the Client, the Client will receive a full refund minus Eventbrite fees.

  • Renew Retreats is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.

General Terms and Conditions

These are the Terms and Conditions that will apply to you booking with Renew Retreats. Please read them carefully as you will be bound by them.

These Terms shall constitute the entire agreement between Renew Retreats and the Client relating to the subject matter herein, and shall constitute a binding agreement. There is no verbal or written; representation, warranty, prior agreement, or description of services, other than as expressed herein.

The contract and booking is made with, and services will be provided by, Renew Retreats. By booking a trip, you agree to be bound by these Terms and Conditions that govern the relationship, the cancellation policy and limitations of liability. These Terms and Conditions affect your rights and designate the governing law and forum for the resolution of any and all disputes.

All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking with Renew Retreats you accept on behalf of yourself to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when Renew Retreats sends a confirmation email and/or when you have completed the deposit payment, or when the minimum amount of participants has been reached. It is at this point that a contract between Renew Retreats and the Client comes into existence.

Renew Retreats reserves the right to decline any booking at their discretion. The person or persons named on the booking are hereafter referred to as the “Client”.

Minimum Age
Please note that Renew Retreats only offers retreats and related activities to those 18 years of age or older. All clients will be required to sign a waiver prior to attending the retreat.

Booking on Behalf of Others
You may pay the deposit and/or final balance for another trip participants but are not permitted to fill out a registration form or waiver for another participant. Every client participating on any Renew Retreats event must personally complete the trip registration form with their own unique email address and confirm their personal information and agreement of these terms.


Pricing 
Canadian trip prices are quoted and payable in CAD and are subject to applicable taxes. Renew Retreats is not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in either currency.


Medical Conditions and Physical Health
The Client must notify Renew Retreats on our registration form of any medical conditions, pregnancy, disability or any other mental and or physical condition which may affect fitness to travel previous medication conditions and including medications you are currently taking. Failure to notify us may result in the Client being refused certain activities during the trip at the clients own expense. Some trips may be unsuitable for Clients due to age, mobility, disability, pregnancy or physical or mental conditions.  

Please note that if, in the opinion of the guide, any client is unable to complete the itinerary without undue risk to themselves and/or the rest of the group, Renew Retreats reserves the right to exclude them from the retreat without refund. It is absolutely vital that you are accurate with your fitness level and medical conditions for your own safety. Please email hello@welcometorenew.com if you have concerns.

Renew Retreats will do its best to meet special requests including dietary or physical limitations but such requests may not always be possible depending on the trip. 

Data Protection
Renew Retreats will apply appropriate security measures to protect personal data collected in our registration form and will only pass on data that is applicable to outfitters or suppliers responsible for the tour. By completing the Renew Retreats Registration Form, Clients consent to this information being transferred as required.

Emergency Medical Insurance
As a client you must carry medical insurance. This insurance must cover personal injury and emergency medical expenses including, but not limited to, helicopter evacuation, air ambulance and repatriation. It is strongly recommended the coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience that may occur during travel. 

Medical facilities vary from location to location and Renew Retreats will do its absolute best to bring you to a proper medical facility as needed. 


Suppliers and Independent Contractors
Hotels, shuttle services, guiding or other elements of a Renew Retreats event are provided by local suppliers who may themselves engage the services of local operators and/or subcontractors. We at all times endeavour to appoint reputable and competent local suppliers, though we cannot guarantee a certain standard of service quality or performance as these contractors are outside our direct control.

 

Retreat Itinerary Changes
Renew Retreats and its partners reserve the right to alter retreat programs and itineraries due to weather or road conditions. These programs may be changed or cancelled at any moment during the trip to assure the safety of our clients and staff. We accept no responsibility for losses, expenses due to delays, changes of flights or other services because of strikes, accidents, sickness, damage, negligence, weather, war, changes in schedules or other similar causes. Renew Retreats and its partners do not assume responsibility for accidents or deaths that can be traced to the participants’ negligence, acts of third parties or exterior circumstances such as weather, natural occurrences, ware or other similar causes. 

In the event a client elects to not participate in any part of the retreat itinerary, the client is not entitled to any refund.


Smoking and Drugs
Each Renew Retreats event has a different tolerance for alcohol consumption and in some scenarios, responsible use of alcohol is permitted. This tolerance is based on many factors such as location, accommodation types, activities etc. Alcohol is tolerated on retreats only when we stay at fixed-roof accommodations or dine out in local restaurants or visit licensed establishments.

Renew Retreats does not tolerate any trip participant to be under the influence of alcohol while participating in the outdoor activity portion of the trip. If your guide thinks that you are not in the appropriate condition to undertake the activity, for any reason, they have the right to decline your participation or may suggest a modified approach. The use of illegal substances/drugs is not permitted and any use of these will result in being evicted from the trip at your own expense.

We also encourage a non-smoking environment around group members and smokers are asked to smoke in private.


Photography and Video
In the course of participation in a Renew Retreats event, photos or video may be taken by participants or guides. These images may be used in any Renew Retreats materials, website, on social (i.e. Instagram, Facebook, etc.,) unless Clients specifically request to the photographer or in writing to Renew Retreats, to not use any material your image is depicted in. Otherwise, permission is granted to Renew Retreats to perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes. This also applies to photo and video posted by the client in Renew Retreats Facebook groups and on Instagram.

Cancellation Policy
15 days or more prior to the start date of the retreat: a full refund less $25 administration fee will be given. 
0-14 days prior to the start date of the retreat: no refunds will be given but spots will be transferable until 1 week prior to the retreat start date. To cancel you must send an email stating that you wish to cancel to: hello@welcometorenew.com.

Cancellation by Renew Retreats: our retreat is guaranteed to take place once the minimum group size is reached. Renew Retreats reserves the right to cancel a trip for any reason, but will rarely cancel except for Force Majeure, unusual or unforeseen circumstances outside our control. When a retreat is cancelled by Renew Retreats before the agreed date of departure for any reason other than the fault of the Client, the Client will receive a full refund minus administrative fees.

Claims and Complaints
If you have a complaint, please first inform the retreat guide at the earliest opportunity to allow the grievance to be rectified. If satisfaction is not reached, contact us (hello@welcometorenew.com) while on retreat in order to give us the opportunity to rectify the matter. Failure to indicate dissatisfaction during the retreat will result in your ability to claim compensation from us being extinguished or at least reduced. If satisfaction is still not reached through these means on retreat then any further complaint must be put in writing us within 15 days of the end of the trip.

Applicable Law
The laws of British Columbia, Canada govern these Terms and Conditions and any disputes in connection with a trip or these Terms and Conditions must be initiated in the courts of British Columbia, Canada.
